Privacy notice
Last updated 13 September 2026
This notice explains what CaseScribe collects and how it is handled. It is written to be read, not to be survived.
What we never want
Identifiable patient data. CaseScribe accepts de-identified clinical text only, and you are required to remove identifiers before submitting. We do not ask for, and do not want to receive, patient names, record numbers, dates of birth, exact clinical dates, contact details or facility names. If you send them to us in error, email hello@casescribe.org and we will delete the submission.
What we collect
- Your email address, when you join the early access list or create an account.
- The text you submit, for as long as it takes to generate your report and to let you retrieve it from your account.
- The reports generated for you, stored in your account so you can download them again.
- Payment records — amount, date and credits purchased. Card details go to our payment provider and never reach us.
- Basic technical logs such as request times and error records, used to keep the service working.
Why
To provide the service you asked for, to take payment, to keep the service secure and working, and to email you about the service. We do not sell your data and we do not run advertising.
Who processes it
- Anthropic — generates your abstract and manuscript. Text sent through the API is not used to train their models.
- The US National Library of Medicine (PubMed / NCBI) — receives literature search queries derived from your case, not your full notes.
- Our hosting and email providers — store the account and site data needed to run the service.
- Our payment provider — handles the transaction and holds the card details.
These providers operate in several countries, so your data may be processed outside the country you are in.
How long we keep it
Submitted text and generated reports stay in your account until you delete them or close your account. Payment records are kept for as long as accounting rules require. Early access emails are kept until you unsubscribe.
Your choices
- Ask for a copy of what we hold about you.
- Ask us to correct or delete it, including a single submission.
- Unsubscribe from any email using the link in it.
- Close your account, which deletes your stored submissions and reports.
Write to hello@casescribe.org and we will respond within 30 days.
Cookies
We use cookies only to keep you signed in and to remember your credit balance. No advertising or cross-site tracking cookies are used.
